Challenge

Cleco is a regulated utility company, serving approximately 288,000 customers through its retail business, and supplies wholesale power in Louisiana and Mississippi. Founded in 1935, the company employs over 1,200 people across the state of Louisiana.

Cleco was in the process of performing an SAP solution landscape modernization. The company was running OpenText solutions, that were integrated into the SAP landscape. Therefore, Cleco wanted to upgrade OpenText solutions as part of this effort and move to the cloud.

Cleco opentext upgrade case study

Solution

Since Ecodocx has been providing OpenText services to Cleco for many years before this, and on top of that, was chosen as Cleco’s OpenText application-managed support (AMS) service provider, we already had a good understanding of their solution landscape.

Ecodocx recommended doing a landscape review (health check), upgrading the following OpenText solutions to the latest supported version, and making them compatible with Cleco’s SAP S/4HANA and SAP Ariba:

  • OpenText Archiving and Document Access for SAP Solutions
  • OpenText Vendor Invoice Management for SAP Solutions
  • OpenText Document Presentment for SAP Solutions

 

Ecodocx also recommended replacing certain solution customizations with out-of-the-box product features.

Additionally, we suggested replacing the old VIM Invoice Capture Center (ICC) with OpenText Capture for SAP Solutions. As part of the upgrade, the OpenText solutions were also moved to the Microsoft Azure Cloud.

Results

After the upgrade, Cleco can now take advantage of the latest features, enhanced security updates, and continuous vendor product support.

Previously, Cleco was using a legacy version of OpenText Vendor Invoice Management (VIM) for SAP Solutions. With the upgrade, Ecodocx replaced several customizations with out-of-the-box functionality available in the newer version. Beyond invoice processing, Cleco can now use VIM to handle delivery notes, order confirmations, quotations, remittance advices, and even sales orders. Additionally, with the increasing adoption of QR codes on invoices as a best practice, the upgrade allows Cleco to leverage an improved QR code data extraction model for greater efficiency.

Just a few months after the upgrade went live, Cleco’s accounts payable team noticed significant improvements in OCR performance with OpenText Intelligent Capture for SAP Solutions (IC4S) compared to their previous ICC solution. The machine learning-powered OCR engine continuously learns from posted invoices, identifying similar documents more accurately with each run. As a result, the need for manual intervention is steadily decreasing.

After the upgrade, Cleco also continues to rely on OpenText Archiving and Document Access for SAP Solutions to archive, manage, and retrieve its growing volume of critical business documents. This helps reduce costs, ensures compliance with increasingly strict government regulations, and improves performance—all within their SAP infrastructure.

Additionally, by upgrading OpenText Document Presentment for SAP, Cleco benefits from enhanced performance and usability when generating customer communications. These generated communications are now also available through Cleco’s customer self-service portal (SAP Self-Service Accelerator by SEW), improving accessibility and customer experience.
