Getting OpenText Vendor Invoice Management (VIM) Ready for Rise with SAP [2025 Checklist]
Below you can find a list of things to consider, when getting ready for your Rise with SAP journey ( or SAP S/4HANA upgrade) to ensure your VIM solution is aligned with S/4HANA migration requirements and avoids unnecessary delays.
- Evaluate software versions of your existing OpenText solutions, such as VIM, OCR data capture (ICC, BCC, Captive, or Intelligent Capture/ Core Capture), and Archive Center (part of Extended ECM for SAP, or Archiving and Document Access for SAP solution packages).
- Perform a future landscape component compatibility analysis. The SAP product versions and release type will set the tone here.
- Capture performance metrics, any known issues, or open tickets with OpenText support.
- Analyze existing VIM setup: document ingestion (fax, paper, email, EDI, etc), OCR, archiving, notifications, dashboards, reports, status updates, existing workflows, and configurations. Review processes that are currently handled outside of VIM or via customizations. Consider replacing them with out-of-the-box VIM functionality provided in the latest releases ( if applicable).
- Perform a backup of VIM data to avoid loss during the migration.
- Review release notes and learn about the latest product features. Get an understanding of integrating with SAP GUI vs Fiori applications in S/4, Intelligent Capture/Core Capture (machine learning and AI-powered OCR module, replacement for ICC and BCC), line-item handling (Matching & Automation), reports, regional settings, etc.
- A VIM upgrade needs to happen in parallel to your SAP S/4HANA project. Ensure to allocate enough time for the landscape build-out time, software version upgrade, improvement activities, technical and user testing activities, etc into your SAP project timeline. Please note: Since VIM is not a separate software, but rather a bunch of OpenText add-ons that are implemented on SAP side, the upgrade work can only start once relevant SAP S/4HANA components are already configured and in place. The older version of VIM you run the more complex and longer the upgrade project is going to be.
- Complete the VIM upgrade with a clear change management strategy to achieve maximum user adoption.
- Allocate a designated team to prepare test cases and test data. Use realistic scenarios. When moving from legacy OCR modules, such as Invoice Capture Center (ICC) or Business Capture Center (BCC) to Intelligent Capture (or Core Capture), or when rolling out Intelligent Capture (or Core Capture) from scratch, make sure to run plenty of test runs with different sample invoices. This way, the new OCR will have some time and data to learn from.
